RFP :: Development of a WordPress site

This is a request for proposals to support the development and launch of a new WordPress based website for Illuman – an organization whose mission is supporting men seeking to develop a mature masculine spirituality.

Illuman worked with a branding agency to create an inspiring brand that invites men to do their spiritual work. This project takes the output from the brand creation process and builds it into a WordPress template. All graphic files are available as high quality .psd files that can be easily converted into any of the WordPress acceptable graphic file formats.

About Illuman
Illuman is a newly-formed 501(c)3 not-for-profit organization with a deep and rich history of leading men’s work through retreats and a life-long program called ‘The Journey of Illumination.” Our work was initially inspired by the work of Fr. Richard Rohr; today, a group of eleven “Wisdom Elders” have succeeded Fr. Rohr as the inspiration and guides to our work with men. The organization has a growing international and US-based presence.


Website Requirements


Our plan is to install a platform that can be extended and will scale. The first iteration of the website will be focused on communicating our mission, outreach, and background information about men’s spirituality and the Journey of Illumination. Future iterations of the website will allow for community engagement and database integration. The website should include the option to integrate with other social media platforms and the syndication of content posted on the website.


Functional Requirements

Our choice of WordPress for the website build is driven by CMS/ease of use considerations.
 

The website build will include the following functions:
• List upcoming events
• Listing of regional contacts with ‘click to email’ functionality
• Newsletter integration with Constant Contact (including ability to subscribe and view archives).
• Donations via Wells Fargo Bank (or paypal)
• Ability to submit form indicating interest in an event
• Search
• Links to Illuman FB, LinkedIn and other Illuman social media pages.
• Optional – integration with Eventbrite (we are not currently leveraging Eventbrite).

 RFP Submissions
In responding to this RFP, please provide a reasonably detailed plan indicating the following:


• Overall approach and philosophy including brief biography and list of qualifications
• Examples of three sites developed that are similar to this project
• References for the above sites. They will be contacted only after a preliminary selection in your favor has been made. Contact information should include email address , phone number and contact name.
• Steps in the development process
• Timelines associated with each step
• Cost associated with each step
• Hourly rate for any on-going maintenance.
• Payment terms and conditions
• Provide in your proposal any additional information required but not specifically requested. Include comments and rationale for any exceptions to the RFP requirements
• Proposals must be signed by an official of your firm authorized to bind your firm to the offer presented within your firm’s submission.


Proposals submitted should indicate any discounted rates provided to not-for-profit organizations.

• It is expected that a vendor will be selected by March 8th, 2014.

Website Design and Development Request for Proposals

The Malton Business Improvement Area (BIA) is seeking a redesign of their existing website. The Malton BIA is seeking an agency to design, build, and launch a new website.
 

GOALS OF PROJECT
The agency will design, build, and launch a new Malton BIA website that strengthens the Malton BIA brand and communications capacity, while providing opportunities to promote the over 320 local businesses in the Malton area.


The website will feature/use/be:
 

=> Easily accessible via multiple platforms (i.e. responsive design);
=> Google analytics;
=> Allow admins to add text, styling, images, embed media and documents without needing to code – ideally an easy to use, low maintenance Content Management System;
=> Dashboard that is customizable per user with overviews on most recent users, current users;
=> Photo galleries with touch-optimized interface (i.e. swipe/browsing controls);
=> Blogging/news (with archiving);
=> Social Media via Facebook/Twitter sharing and aggregation of recent social media posts;
=> Drag and drop webform builder with email notifications e.g. Job/volunteer application forms, contact forms, registration forms, etc.;
=> Online registration functions (membership/event/newsletter) that including payment processing and are exportable to CSV/Excel;
=> Polls for user voting with dynamic response reports;
=> Events with navigable calendar and list of upcoming events;
=> User commenting with admin moderation controls, subscriptions and email notifications;
=> Donations that allow for variable amounts and campaign specific contributions via credit card or Paypal;

=>Ability to feature scrolling advertisements and banners;
=> Automatic daily backups; and
=> VPS or cloud hosting.


The agency will support brand development and will able to work with text, video, and photo content provided by the Malton BIA.
The agency will provide post-launch optimization and maintenance services at an agreed upon consultation rate.


PROPOSAL REQUIREMENTS: Proposals must and include the following:
 

AGENCY INFORMATION:
* Name of the agency and business identification number;

* Name and contact information of the designated contact person representing the agency;
* General description of the nature, capacity, and specialties of the company, as well as the number of years it has been in operation; and
* Location of head office and any other locations.
 

PROJECT INFORMATION:
=> Understanding of the requirements of the project; 

=> Sample schedule and price overview of a similar project;
=> 3 references for similar projects done in the past (ideally at least 1 will be for a non-profit organization); and
=> 3 work samples of similar projects done in the past (ideally, at least 1 will be for a non- profit organization)
 

PROPOSAL SELECTION PROCESS
The proposal selection process will be carried out by a review committee composed of the Malton BIA board members.

SUBMISSION
Proposals must be submitted by 5:00 p.m. on Friday, February 28, 2014 to info@maltonbia.com.


PRESENTATION
Prospective agencies may be requested to present to the review committee. If presentations are desired, prospective agencies will be contacted as soon as possible once the call for proposals closes.


PAYMENTS
No payments, including expense reimbursements, will be given for the creation of submissions in responses to this RFP.
 

SELECTION
The review committee will score proposals on a scale that takes into account: understanding of the project, capacity to meet deliverables, experience of the agency (including experience working with non-profit organizations), and financial considerations. We reserve the right to refuse any proposal for any reason. The lowest cost solution will not necessarily be the successful proposal.

1. SUMMARY
 

The Halifax Pride Committee (“Halifax Pride”) Request proposals to redesign, redevelop, host, maintain, and support its public website (www.halifaxpride.com), the “Project”. The Project will be a concept-to-completion production.
 

The purpose of this Request for Proposal (“RFP”) is to seek submissions (“Proposals”) from those interested in being awarded a contract (“Proponents”) to complete the Project and to provide information about concepts, features, and design functions that must be incorporated in the Project. The RFP also establishes a process through which Proposals will be evaluated, and either selected or rejected by the Halifax Pride Committee’s Board of Directors.

2. ABOUT HALIFAX PRIDE
 

2.1. COMMUNITY
 

Halifax was founded in 1749; history, seafaring culture, and urban adventure come together in Halifax, our vibrant capital city by the sea. A walk along the historic Halifax waterfront reveals everything from tall ships and museums to harbour cruises and the largely attended Halifax Pride Festival, 4th largest in Canada. Venture through our downtown where you’ll find 17th and 18th century architecture, galleries, museums, theatres, and boutique shops. We also have the most pubs per capita in all of North America!
 

2.2. CURRENT WEBSITE
 

The current Halifax Pride website is hosted in the cloud and uses an out of date Wordpress plugin as the content managing system. It is difficult to maintain due to the numerous redundancies and inefficient updating processes. The site was built as a make-shift solution and was not intended to remain in use for this amount of time. The websites compatibility with modern web browsers is becoming an ever more pressing issue. There is currently no mobile-friendly version of the site and the site is not touch-interface friendly.
